Problems Faced by Client – Why did they need our help?

Over 4 years ago we were contacted by this Client to discuss our services and how we could support their existing Bid Writing Team. Due to the number of submissions being sent out at both SQ and ITT stage, there were times in the year where the work exceeded the internal resources.

 

Bid & Tender Support were contracted by this Client to support on SQ and ITT Responses. We needed to work closely with their Bid Team, Senior Management and also Site Based staff to create Case Studies and collate contract specific information.

 

A number of the SQs are in Scotland and involve ESPDs (European Single Procurement Document) which are standardised formats but involve a lot of Compliance checks, so our job is to ensure they pass through these to the next stage without any issues.

 

Services Provided – Meeting their needs

After an initial meeting with the Bid and Management Teams to understand the business and their needs. We built up a relationship with the Client so we understood what they did and what their unique selling points were to make them stand out from the competition. We have attended Bid Training sessions with them and regular review meetings to stay abreast of their performance, improvements, social value initiatives and added value projects.

 

Our role includes managing a Bid Library of content for SQs and ITTs, working with the Bid Writer to keep content up to date and relevant. The industry moves quickly and therefore it is imperative to keep the content moving and improving.

 

Outcome of our Work – Improved Win Rate, Gained Accreditation etc

We have now completed 40 bids for this company over the last 4 years with a success rate of over 80% at getting through to ITT from SQ and in ultimately winning the contract. We have a tried and tested method including Team Kick Off Calls before each new tender application and strict review procedures which we follow to complete the bid paperwork and ensure all parties are happy.
